  • E-mail is not secure, and confidential information shall not be sent this way. Let's say it a different way.

Do not send any confidential information in any e-mail!

  • Fax numbers must be verified before a fax is sent, and the person who is receiving the information must be aware that the information is being sent. Cover sheets on the faxes must identify the enclosed information as confidential and provide clear direction to limit who can receive the information.  Do not use computer-based fax.  Use only paper fax transmission.
     

  • Cell phone and two-way radio signals may be picked up by other receivers and must not be used to convey confidential information. 
     

  • Answering machines whose access is not limited to only the individual receiving the message must not be used to convey confidential information.
